For civic engagement, the agenda should dig into AI tools that can increase access to information and participation, while also addressing real risks such as biased training data and the potential for AI systems to reinforce existing inequalities, along with ways to reduce harm. For education, the program should explore AI as a way to improve learning access and quality, such as language learning across diverse populations, remote learning resources, and support for teachers in rural areas, while also confronting ethical issues around AI-generated content, misinformation, and the need to build critical thinking. For environmental sustainability, the workshop should highlight AI applications for conservation and climate action, such as monitoring ecosystems, managing natural resources, and protecting wildlife, potentially including fieldwork or engagement with AI-driven environmental organizations.

A key expectation is that the workshop does not end when participants fly home. Proposals must include follow-on activities such as virtual collaboration, mentorship, and/or participant projects supported by small seed grants, and these post-program components must be built into the monitoring and evaluation plan. The grantee is also required to use pre- and post-workshop surveys to measure changes in participant knowledge and assess overall workshop effectiveness. The workshop must also include a cultural or community service element that promotes ASEAN unity and highlights the United States as a constructive partner to ASEAN.

This includes building syllabus materials and a complete event program with biographies, creating banners/backdrops and other printed materials, and managing a secure application/selection portal. The recipient must also design a digital engagement and social media strategy that may include live video or live online engagement during the workshop. A specific restriction is that no new event-specific website should be created, and domain hosting/build costs will not be supported. After the workshop, the recipient must deliver design files plus documented media outputs, including photos and recorded video, as well as a promotion-ready photo album and a video series that has been approved by the U.S. Embassy.
